Double click on the ValueFax Manager to start the Manager program. You will see the following screen.
 
Note: The items "New", "Open", "Save", "Save as" and "Revert to saved" under the File menu are not active in this release of ValueFax. They are placeholders for future features.
2.1 Dialing Options
Click on the Setup menu to select the 'Dialing Options…' dialog.
 
The following options can be set for the dialing function.
 
‚å• The 'Dialing Mode' popup menu selects either tone dialing or pulse dialing.
‚å• Select 'Yes' for the 'Wait for Dial Tone?' popup menu if you get a standard dial tone when you pick up the telephone. With some phone systems (especially in hotels), the dial tone sent by the phone system is not properly interpreted by the modem to be a correct dial tone. If this is the case with your phone system, select 'No'.
‚å• The 'Speaker' and 'Volume' popup menus control the audio output of the modem during dialing and fax transfer.
‚å• You can use ‚åòx to cut, ‚åòc to copy and ‚åòv to paste in all the text fields.
‚å• You can enter upto 4 dialing prefixes. These will be dialed before dialing any number. You will probably need one dialing prefix to dial from work and another to dial from home. You should select the appropriate prefix to fit the occasion. The prefix 1170 turns off the 'call waiting' indication if you subscribe to this feature from your phone company. If you do not use this prefix, and you get a phone call during your fax transmission, it will be disrupted by the incoming call.
‚å• You can enter any string in the 'Dialing Suffix' area. This string will be dialed after the phone number. This feature is useful for using certain long-distance companies and company PBXes.
‚å• You should enter your current area code in the space provided. This lets the software work smarter by automatically stripping out the area code from numbers in the same area code. This lets you enter the complete phone nume numbers including the area codes in the phone book. When travelling, you only need to change the 'Current Area Code' to cause proper dialing of area codes as needed. Without this feature, you will have to use different phone books from different places if you travel with your Macintosh.
‚å• The click box 'Dial 1 before area code' should be clicked if you have to dial a 1 before dialing an area code from your telephone exchange. Most exchanges in the US are moving towards requiring a 1 before an area code. Most foreign users should turn this checkbox OFF.
‚å• Select the phone or printer port icon depending on where you have connected your fax modem. Normally, you should be using the phone port. If you are using a Duo or internal serial cards or serial port multiplexor products such as the Hurdler, you will see appropriate icons in this list.
Note: If you have connected the fax modem to the Macintosh's printer port, you must turn off 'AppleTalk' in the chooser.
Note: These settings will take effect when you quit "ValueFax Manager".
Special area code situations:
‚å• Users in the Atlanta area now have two different area codes (404) and (770) and a number in the other area code has to be dialed without a '1' in the front. The solution if you are in the (404) area code is to enter all (770) numbers in the phone book as (404)770-xxx-yyyy This way, ValueFax matches the 404, strips it out and does not dial a '1' in front.
‚å• Users in the Washington (DC) area now have three different area codes and a number in the other area code has to be dialed without a '1' in the front. Luckily, these numbers work even when you dial a '1' in the front and the phone company still treats this as a local call without billing you for the call. So you do not have to do anything special with ValueFax for this situation.
‚å• In general, it is easy to trick ValueFax into believing that the area code in the phone number does not match its configured area code. Just enter the phone number with a comma in the front ,(nnn)aaa-bbbb
2.2 Coverpage
Click on the Setup menu and select the 'Cover Page…' dialog. The following options can be set for the coverpage.
 
‚å• You can use ‚åòx to cut, ‚åòc to copy and ‚åòv to paste in all the text fields.
Enter your name, your company's name and your phone numbers in the space provided. This information will be automatically included on all coverpages generated by the program. You can also select the font and the font character size used for generating the coverpage. In general, the Helvetica font looks good on a fax. Avoid using slim fonts such as Geneva or Monaco. Click OK.
‚å• If you clicked ON the checkbox "place company name and date at the top of each fax page", your company's name specified in this dialog will appear in the top line on each fax page along with the date and time and the page number. If this checkbox is checked OFF, no header will be present. This might be useful if you are using your fax machine as a printer for your Mac.
‚å• Your fax number as specified in this dialog will be sent to the remote fax machine as part of the fax handshake.
2.3 Coverpage Logo
You can also include your company's logo on the coverpage as follows:
‚å• Create the logo using a draw or paint program, or scan the image into a PICT format file using a scanner.
‚å• Select the logo in the draw or paint program and copy or cut it.
‚å• Choose Scrapbook from the Apple Ô£ø menu in the menu bar. (Use of scrapbook is an important step - please do not skip it).
‚å• Choose Paste in the Edit menu to paste the logo in the Scrapbook.
‚å• Close the Scrapbook and quit the application used to create the logo.
‚å• Open the ValueFax Manager. Then choose Scrapbook from the Apple Ô£ø menu in the menu bar.
‚å• Choose Copy from the Edit menu to copy your logo.. Close the scrap book.
⌥ Choose the 'Cover Page…' dialog from the Setup menu.
‚å• When the coverpage dialog box appears click on the 'Select Logo' button to display the following dialog.
 
Click on the Paste button to copy your company's logo to the coverpage. Click OK here and in the next dialog box.
Note: If your logo is in a Quark document, you will need to copy and paste it into MacDraw or MacPaint so it is converted to PICT. Alternatively, you can use Flash-It to take a picture of the logo and save it to the scrap book. If you use PhotoShop to create the logo, you should save it in the PICT format. Please check the preference item to save the clipboard in PICT format.
Note: The logo needs to be in PICT format - that is why there is a step of pasting it to the scrapbook. Each application has its own private cut and paste format but when they copy it to the scrapbook, they have to convert it to PICT.
Note: If you reinstall ValueFax on top of an existing version, your logo is replaced by the standard ValueFax logo. Sorry, this will be fixed in a future release.
2.4 Background Operation
Click on the Setup menu and select the 'Background Operation…' dialog. The following options can be set for the background.
 
The two popup menus in the top line specify how many times and how often to retry sending a spooled fax if the destination fax is busy or if there is some other error.
The second line allows you to set the time interval for checking if it is time to send a waiting fax. 1 minute is a good interval for this. However, if you are worried about the checking overhead, you can increase this interval. Note that, if you are using a larger interval, your QuickFax's might be delayed by upto the selected interval.
If you do not want to receive any faxes or if you are sharing a single phone line for fax and voice, select "None" for the popup menu "Answer Phone On Which Ring?". Later, if you do get a fax call (identified by the periodic beep sound), you can use the "Start Background" (if needed) and "Manual Receive" buttons in FaxStatus to receive it. Other items should be left with their default value.
If you click ON the "Background is stopped on restart" checkbox, the background program will not try to initialize the modem when the Mac is started. However, option-print will switch in the fax driver as usual and you will still be able to send a fax using the "Send Now" button of the fax printer dialog. If you want to then receive a fax, send a QuickFax or a delayed fax, you will have to turn on the background program using FaxStatus. The "stopped on restart" is the most popular mode for people sharing a single line for fax and voice.
The checkbox for "Receive at 9600 bps or less" is meant for forcing the reception at 9600 bps or less. This is needed because many fax modems cannot reliably send faxes to each other at 14400 bps even when their handshake appears to be correct. This results in received fax pages which contain only dots and streaks. If you see received fax pages like that, check ON this option and then ask the person to resend the fax.
If you click ON the "Convert received faxes to TIFF format too" checkbox, all your received faxes will also be converted into TIFF format automatically. They will be in the "received faxes folder" in the same folder as the fax PICT pages. You can use the TIFF files as input to your OCR (Optical Character Recognition) program. The TIFF format files are rather large so you should delete them when you are done.
2.5 Direct Fax Keys
Click on the Setup menu and select the 'Direct Fax Keys…' dialog.
 
This dialog allows you to specify which keys you want to hold down while selecting 'Print…' from the menu to automatically switch in the fax modem in place of your regular printer. This feature makes it unnecessary to go to the Chooser to change your printer selection to send a fax.
Special note to Microsoft Word users:
Microsoft Word uses the 'Option ⌘P' combination to mean something else. In Word, select the 'Commands…' dialog under the 'tools' menu. Select 'Print…' in the scrolling list and click on the 'Add…' button. Hold down the Option and ⌘ keys and press P. Click OK and then 'Close'. You can now simply hold down the Option and ⌘ keys and press P to send a fax from Word.
Word 6.0 assigns special meaning to clicking on the Printer icon while holding down the option, control or shift keys. So you will have to use the Print command under the File menu while holding down your selected keys to switch in the fax driver.
Special note to MacWritePro and WriteNow users:
These programs and perhaps others have a special meaning if the user holds down the option key while pulling down a menu. For these, first pull down the File menu, then hold down the option key, select "Page Setup…" or "Print…" and then release the mouse.
Note: It is a good idea to quit from the ValueFax Manager program when you are done with it.
2.6 Modem Commands
Click on the Setup menu and select the 'Modem Commands…' dialog.
 
In previous releases of ValueFax, you had to manually edit the "setup" file in the "ValueFax Fax folder" inside the system folder to change the modem's XON/XOFF and reset strings. This dialog makes that unnecessary. You can enter the commands in the fields provided and click OK.
From release 2.0.9, ValueFax is supporting the special option for "Hardware Handshaking" for use with the Shiva netmodem ONLY. Please do not use this option with any other modems even though your modem may have a "Hardware Handshaking" cable included with it.
